The Senior Support Officer for the PhD Office is a recognised professional who drives the implementation of actions and initiatives aimed at fostering a high-quality doctoral training environment at LIST. Working with a high degree of autonomy, this role contributes to the continuous improvement of doctoral training practices, and influences stakeholders within and outside the organisation regarding policies, practices, and procedures within their area of responsibility.

Responsibilities

How will you contribute?

This position is in charge of the implementation of the Quality Framework for Doctoral Training and identifying opportunities to improve the PhD experience at LIST. The Senior Support Officer possesses broad and systematic understanding of research activities, doctoral education and supervision. Moreover, the Senior Support Officer for the PhD Office demonstrates good knowledge of project management and sets their own priorities, adapts work plans to new or changing demands, and may coordinate or follow up on the work of colleagues.

  • Leads the implementation and monitoring of the Quality Framework for Doctoral Training (FNR), ensuring compliance with internal and external requirements and driving continuous improvements to the framework.
  • Serves as the primary point of contact and recognised specialist for questions related to doctoral training processes, policies, and support services for Doctoral Researchers, supervisors, and internal stakeholders.
  • Leads the coordination and animation of PhD-related communities (including the Doctoral Researchers' community, PhD alumni network and the PhD supervisor's community), ensuring that their agendas remain dynamic and relevant, and that their actions contribute to research excellence, LIST culture and healthy work environment.
  • Drives the promotion of LIST PhD programme through marketing, social media, outreach initiatives, and the development of high-quality promotional materials, newsletters, and website content.
  • Coordinates with external stakeholders — including universities, research institutions, and funding bodies — to strengthen collaborations and benchmark doctoral training practices against best practices at peer institutions.
  • Plans and delivers relevant networking events and knowledge-sharing activities for doctoral students and alumni, including the LIST Annual PhD Day.
  • Supports the development, promotion, and monitors tailored career orientation and personal development initiatives for Doctoral Researchers, in close collaboration with the Learning & Development (L&D) and HR teams, to support doctoral researchers in preparing for post-PhD opportunities.
  • Identifies opportunities for process improvement and collaborates in designing and implementing efficient processes and systems to enhance the overall performance of the Doctoral Researchers.
  • Communicates with fluency and ease within and outside the organisation, including with senior management, on complex matters that require substantial expertise and experience.
  • Respects and applies LIST-HSE rules. Alerts of potential dangers or risks. Takes care of their own safety and that of others.

Education

  • PhD - combined with a minimum of 6–8 years of relevant professional experience in a research environment.

Experience and skills

  • Prior experience as a PhD supervisor.
  • Broad and systematic understanding of doctoral training processes, academic research environments, and quality assurance frameworks, acquired through advanced learning combined with experience.
  • Good knowledge of project management principles and demonstrated ability to conduct entire processes or projects with significant impact on team results.
  • Demonstrated ability to solve complex problems involving multiple issues or areas, based on prior experience and analysis; capacity to make improvements to processes, systems, or products.
  • Proven ability to communicate and influence parties within and outside the area of responsibility regarding projects, policies, practices, and procedures.
  • Strong organisational skills, excellent attention to detail, and the ability to set priorities and adapt work plans to new or changing demands.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and database or information management systems.

Language skills

  • Strong communication and interpersonal skills, with fluency in English and a good command of French, both orally and in writing (additional languages are an asset).

This position offers a gross monthly salary between €6724 and €8177, paid over 13 months (€87412–€106301 annually) based on full‑time employment. The final salary offer within this range will be determined based on the candidate’s overall profile, qualifications and professional experience.

For part‑time employment, the salary is adjusted pro rata.
