Responsibilities
Operations Analyst - Securities (M/F)
As an Operations Analyst - New Issues, you will play a key role in supporting securities operations through the analysis, onboarding, monitoring, and maintenance of financial instruments. This position offers the opportunity to work across a broad range of products while contributing to data quality, operational excellence, and regulatory compliance within an international banking environment.
Your tasks:
Securities Documentation and Analysis
- Review and analyze securities documentation, including prospectuses, final terms, key information documents, term sheets, issuer notices and other supporting documents.
- Assess documentation for completeness, consistency and operational usability before the instrument is created or maintained in the Bank's systems.
- Identify documentation gaps, inconsistencies or unclear product features and coordinate clarification with issuers, arrangers, custodians and internal stakeholders.
- Maintain a complete and traceable repository of instrument documentation for operational, audit and regulatory purposes.
Instrument Data Validation
- Validate instrument static data and key economic characteristics, including ISIN, issuer, currency, coupon, maturity, underlying, payment frequency, call features and market classification.
- Ensure instrument data recorded in internal systems is complete, accurate and consistent with the official documentation and approved data sources.
- Investigate data discrepancies and coordinate timely correction with relevant internal teams and external data providers.
- Perform periodic data-quality reviews and support control evidence and audit-trail requirements.
Pricing and Tolerance Controls
- Perform daily or periodic pricing controls and review price movements against established tolerance thresholds.
- Investigate missing, stale or out-of-tolerance prices and obtain supporting information from approved market data sources, issuers or valuation providers.
- Escalate material pricing exceptions and ensure that corrections or overrides are appropriately supported, approved and documented.
- Contribute to the maintenance and enhancement of pricing-control procedures and tolerance parameters.
Fiscal Impacts and Fiscal Documentation
- Analyze potential fiscal impacts associated with financial instruments, income events, redemptions and other lifecycle events.
- Collect, validate and maintain fiscal documentation required for withholding-tax treatment, tax relief, reclaim processes and applicable reporting obligations.
- Coordinate with Tax, Compliance, custodians and issuers to clarify the fiscal treatment of instruments and specific events.
- Ensure fiscal assumptions, supporting evidence and operational instructions are clearly documented and escalated when uncertain.
Funds - NAV Control
- Monitor and control Net Asset Value (NAV) information for investment funds using approved sources.
- Investigate missing, stale or unusual NAV movements and coordinate resolution with fund administrators, custodians, distributors and data providers.
- Validate that fund prices and relevant reference data are correctly reflected in internal systems.
- Maintain supporting evidence for NAV exceptions, corrections and escalations.
Onboarding of Structured Products
- Coordinate the operational onboarding of structured products from initial request through instrument readiness.
- Review final terms, term sheets, payoff descriptions, issuer information, relevant risk indicators and operational settlement details.
- Coordinate instrument creation and data validation with internal functions and confirm that required documentation and regulatory information are available before activation.
- Track open onboarding items, dependencies and approvals, escalating issues that could prevent timely product availability.
Monitoring of Specific Events
- Monitor instrument-specific events and issuer notices that may affect product terms, valuation, client positions or operational processing.
- Analyze relevant event information, identify impacted instruments and coordinate required updates in the Bank's systems.
- Communicate material events and operational impacts to the relevant internal stakeholders in a clear and timely manner.
- Maintain evidence of the analysis, decisions, actions and follow-up performed.
Coordination with Issuers and External Parties
- Act as an operational point of contact with issuers, arrangers, custodians, fund administrators and data providers for instrument documentation, reference data, pricing and event-related queries.
- Coordinate the collection of missing information and follow up on outstanding requests within required operational timelines.
- Ensure communications and received documentation are retained in accordance with applicable internal record-keeping requirements.
- Escalate unresolved or material issues to the Senior Operations Analyst or Operations Manager.
General Responsibilities
- Maintain clear and timely communication with internal and external stakeholders.
- Identify operational risks and opportunities to improve data quality, controls and process efficiency.
- Participate in system enhancements, user acceptance testing, process documentation and operational projects.
- Execute assigned controls and reporting activities while maintaining accuracy, traceability and appropriate escalation.
Required profile
- Bachelor's degree in Finance, Business, Economics, or a related field.
- Minimum 3 years of experience in securities operations, instrument data management, product onboarding, pricing controls, funds operations, or related areas.
- Fluent English is required; Portuguese is considered an advantage.
- Strong understanding of financial instruments, including bonds, equities, investment funds, and structured products.
- Knowledge of securities documentation, instrument static data, and product lifecycle events.
- Understanding of pricing controls, tolerance monitoring, NAV validation, and related operational processes.
- Awareness of withholding tax documentation and tax-related operational impacts is an advantage.
- Strong analytical, problem-solving, and organizational skills with excellent attention to detail.
- Ability to manage multiple priorities and meet operational and regulatory deadlines.
- Strong communication skills and ability to collaborate effectively with internal and external stakeholders.
